Job Description:

Operations Administrator / Office Manager:40-45 Hours Per Week
Objective: Work with Owners, District Managers and Controller on all office daily operations thereby ensuring company core values, client satisfaction and revenue increase.
The responsibilities outlined below will be contingent on the candidate's level of experience.
Scheduling/Planning/Staffing/Coordinating

  • Coordinated Team Schedules (Meetings) - Personal and Business
  • Coordinate Travel Arrangements - Personal and Business
  • Plan and coordinate quarterly swim meet for all schools
  • Plan and coordinate all FD trainings for all schools
  • Plan and coordinate all messaging with social media company for organizational initiatives
  • Research, secure, plan and coordinate team events for each quarter
  • Plan and schedule all newsletters to families for all schools
  • Research, secure, plan and coordinate job fairs for all schools
  • Plan and coordinate each school instore event for all schoolsInventory/Ordering
    • Plan and process all orders for:
    • Promo items: wet suit bags, notebooks, pencils, bracelets etc---
    • Uniforms: FD shirts, rash guards, DS rash guards
    • Printed materials: price sheets and brochures
    • Retail: amazon, sam's club, Finis, Iplay, oriental trading etc---
    • Prepare birthday/anniversary gifts for all schools monthly and distribute to each school's management teamHR/Accounting
      • Enter daily sales for all locations
      • Perform credit card reconciliation breakdowns for all schools each month, match statements with receipts for controller to approve and pay (for all 16 cards)
      • Respond to Unemployment Claims
      • Manage Background Check System admin side
      • Using onboarding too, manage onboarding candidate's status, by following up with location GM's
      • Perform onboarding system training for new management staff
      • Manage onboarding tool
      • Follow up with location manager to track candidate's status
      • Ensure all processes are being completed in a timely fashion
      • Ensure proper documents for DD are processed when onboarding is submitted, if not contact location GM to get proper documentation
      • Manage background check system admin
      • Perform onboarding system training for new management staff
      • Manage onboarding questions/problem resolution
      • Manage software side of the onboarding and DHS e-verify system
      • Manage onboarding questions/problem resolution

      • File paid bills stubs
      • Update payroll comparison spreadsheets for controller
      • Update employee rosters
      • Chargeback investigation and send emails to location team
      • Assist controller with contacting landlords when needed
      • Assist with contacting utility companies
      • Assist with plan administration for LTD/STD/Life/Health and 401k benefitsReal Estate/ Construction Responsibilities
        • Information Gathering and Form Completion
        • Assist in Permitting Requirements and Filings
        • Landlord Communication
        • Utility Company and Service Requests
          Qualifications:
          • Must have 3+ years working in an Administrative or Office Management position.
          • Basic accounting and bookkeeping skills
          • Experience ordering and maintaining inventory
          • Computer skills - data entry, record keeping
          • Must be able to multi-task in a fast-paced environment
          • Will have prioritization and organizational skills
